Privacy Policy

This Privacy Policy explains what data Gate Doctor (the “Service”) collects, why we collect it, and what we do with it. By using the Service you agree to this policy and our Terms of Service.

1. What We Collect

To operate the bot, we store the minimum data required:

  • Discord identifiers: server (guild) ID, channel IDs, role IDs, and the user IDs of members who interact with the bot.
  • Approval data: the in-game name (or other identifier) a prospective member submits, the timestamp of the request, and the approval decision (approved / denied) along with the moderator user ID who acted.
  • Configuration: the settings a server owner chooses (channels used, roles granted on approval, message templates).
  • License data: the Discord server ID a license was purchased for, the activation status, and a transaction reference from Paddle. We do not store payment card details — those are handled entirely by Paddle.
  • Operational logs: error logs and basic request metadata used to diagnose problems and improve reliability.

2. What We Don't Collect

  • We do not read or store your members' general chat messages.
  • We do not collect email addresses, real names, or contact information.
  • We do not sell or share data with advertisers.

3. Why We Collect It

  • To provide the approval workflow you configured.
  • To enforce paid licenses tied to a specific server.
  • To diagnose bugs and improve the Service.
  • To comply with legal obligations where they apply.

4. How Long We Keep It

  • Configuration and license data: retained as long as the bot is in your server, plus a short grace period after removal.
  • Approval records: retained while the bot is in your server so moderators can audit past decisions. Server owners can request deletion at any time.
  • Operational logs: retained for a limited period (typically 30–90 days) and then deleted.

5. Sharing

We share data only with the providers required to run the Service:

  • Discord — to deliver bot functionality.
  • Paddle — our reseller of record, which processes payments and issues invoices.
  • Hosting and infrastructure providers — to store data and serve this website.

We do not sell personal data.

6. Your Rights

Depending on where you live, you may have rights to access, correct, or delete data we hold about you, and to object to or restrict certain processing. To exercise these rights, contact us via the contact page. Server owners can also remove the bot from their server at any time, which causes its data for that server to be deleted after a short grace period.

7. Security

We use reasonable technical and organizational measures to protect data against unauthorized access, alteration, and loss. No system is perfectly secure; we cannot guarantee absolute security.

8. Children

The Service is not directed to children under 13 (or the equivalent minimum age in your jurisdiction). If you believe a child has submitted data through the Service, contact us and we will delete it.

9. International Users

The Service is operated from, and data may be processed in, jurisdictions outside your own. By using the Service you consent to such processing.

10. Changes to This Policy

We may update this Privacy Policy. Material changes will be reflected by updating the “Last updated” date above. Continued use of the Service after changes take effect constitutes acceptance.
